These Terms & Conditions govern access to the Vital Link Courier LLC website, requests for quotes, and courier and delivery services provided by Vital Link Courier LLC (“Vital Link Courier,” “we,” “us,” or “our”).
By submitting a delivery request, accepting a quote, or using our services, you agree to the terms applicable to that transaction. Additional written service agreements may apply to specific customers, shipments, or recurring delivery arrangements.
1. Services
Vital Link Courier LLC provides expedited, same-day, scheduled, time-sensitive, and business-to-business courier services in Arkansas and surrounding states, subject to route availability and dispatch confirmation.
Services may include:
-
Expedited and direct point-to-point delivery
-
Medical and laboratory specimen transportation, subject to applicable requirements
-
Eligible medical supplies and pharmaceutical deliveries
-
Legal and business document transportation
-
Automotive, aviation, industrial, and critical-parts delivery
-
Scheduled and recurring courier routes
-
Temperature-controlled transportation, when available and confirmed
-
Pickup and delivery coordination
-
Signature confirmation, photographic proof of delivery, timestamps, and other delivery documentation, when requested and available
-
Chain-of-custody procedures, when agreed upon for the shipment
-
After-hours, holiday, and STAT/urgent delivery requests, subject to availability and acceptance
The availability of a particular service depends on the shipment contents, route, timing, handling requirements, equipment, applicable laws, and other operational considerations.
Listing a service on our website does not guarantee that every shipment can be accepted. Certain shipments require individual review and written approval before transportation.
2. Instant Quotes and Delivery Requests
Our website may provide an instant quote calculator that estimates delivery charges using information supplied by the customer.
Instant quotes are estimates unless expressly identified and accepted as a confirmed price by Vital Link Courier.
The accuracy of an estimate depends on the information submitted, including:
-
Pickup and delivery addresses
-
Route and estimated mileage
-
Requested service level
-
Pickup date and delivery deadline
-
Package size, weight, quantity, and contents
-
Special handling requirements
-
Additional stops and access requirements
-
Applicable surcharges and other disclosed charges
An instant quote or completed online form does not, by itself, constitute acceptance of a delivery request.
A delivery is confirmed only after Vital Link Courier accepts the request and confirms the applicable service details, availability, and pricing.
STAT, emergency, hazardous-material, radioactive-material, temperature-controlled, and other specialized shipments may require manual review and a separate quote.
We reserve the right to correct a material pricing error or revise an estimate when submitted information is inaccurate or incomplete. Any revised price must be communicated to the customer for approval before proceeding with the affected service, except as otherwise provided in an applicable written agreement or permitted by law.
3. Pickup and Delivery Times
Pickup times, estimated arrival times, and delivery deadlines are subject to confirmation.
Actual transit times may be affected by traffic, weather, road closures, accidents, vehicle problems, facility access, loading delays, recipient availability, and other circumstances beyond our reasonable control.
Vital Link Courier will make reasonable efforts to meet confirmed service commitments but does not guarantee a specific delivery time unless an authorized written agreement expressly provides otherwise.
Customers requiring STAT, emergency, or deadline-critical service should contact dispatch to confirm availability and feasibility.
4. Customer Responsibilities
Customers are responsible for providing accurate and complete information regarding the shipment and requested service.
Customers must:
-
Provide correct pickup and delivery addresses and contact information.
-
Accurately describe shipment contents, weight, dimensions, quantity, and handling requirements.
-
Identify any hazardous, regulated, temperature-sensitive, fragile, or otherwise restricted materials before pickup.
-
Ensure shipments are properly packaged, sealed, labeled, and ready for transportation.
-
Provide required shipping documents, permits, declarations, and handling instructions.
-
Ensure the shipper has legal authority to tender the shipment.
-
Identify any delivery deadline, recipient signature requirement, facility access restriction, or special procedure.
-
Ensure that the recipient is authorized to receive the shipment.
-
Provide safe and reasonable access to pickup and delivery locations.
Vital Link Courier may refuse or suspend a shipment when information is inaccurate, required documentation is missing, packaging is unsafe, or the shipment cannot be transported lawfully or safely.
5. Prohibited and Restricted Shipments
Customers must not tender illegal, undeclared, improperly packaged, or prohibited items.
Restricted shipments may include:
-
Illegal drugs, contraband, or unlawfully possessed items
-
Firearms, ammunition, explosives, or weapons not expressly accepted in writing and permitted by applicable law
-
Hazardous materials or hazardous waste that have not been specifically approved
-
Radioactive materials that cannot be lawfully transported under the applicable requirements
-
Controlled substances or regulated pharmaceuticals that require authorizations or procedures not satisfied for the shipment
-
Perishable, biological, infectious, or temperature-sensitive materials that cannot be safely handled under the confirmed service conditions
-
Leaking, contaminated, improperly sealed, or inadequately labeled packages
-
Any item whose transportation would violate applicable law, regulation, insurance restrictions, or contractual obligations
Customers must disclose the actual contents of each shipment before pickup.
Vital Link Courier may inspect shipment documentation, request additional information, refuse acceptance, or discontinue transportation when reasonably necessary for safety, compliance, or operational reasons.
6. Medical, Laboratory, and Sensitive Shipments
Vital Link Courier may accept eligible medical specimens, laboratory materials, medical supplies, pharmaceuticals, and other sensitive shipments when the shipment and requested service meet applicable requirements.
The customer or shipper is responsible for:
-
Correct classification and disclosure of shipment contents
-
Required packaging, labeling, documentation, and preparation
-
Providing necessary handling and temperature requirements
-
Identifying applicable regulatory or facility-specific requirements
-
Ensuring the shipment is legally eligible for transportation
Vital Link Courier provides transportation services and does not provide medical diagnosis, treatment, laboratory testing, or clinical services.
Specialized shipments, including infectious substances, regulated biological materials, radioactive materials, hazardous materials, and certain pharmaceuticals, are accepted only after review and confirmation that applicable requirements, equipment, insurance, and authorizations are satisfied.
No specialized shipment is accepted merely because a related service is mentioned on our website.
Customers should avoid sending unnecessary patient information or other sensitive personal information through website forms, text messages, or ordinary email.
7. Pricing, Fees, and Payment
The price for a delivery is based on the quote or written service agreement accepted by the customer.
Depending on the service, charges may include:
-
Base delivery charge
-
Mileage and route-related charges
-
Service-level or urgency charges
-
Additional-stop charges
-
Waiting-time charges
-
After-hours or holiday surcharges
-
Toll and parking expenses
-
Special handling charges
-
Return-trip or redelivery charges
-
Cancellation or failed-delivery charges
-
Other charges disclosed and agreed upon for the applicable service
Minimum Charge
Vital Link Courier's standard minimum delivery charge is $35, unless a different rate is expressly agreed upon in writing.
Waiting Time
The first 15 minutes of waiting time are included in the standard service.
Waiting beyond the included 15 minutes is charged at $20 per hour, calculated according to the applicable billing method communicated for the delivery.
Waiting may occur when a shipment is not ready, access is delayed, loading or unloading takes longer than expected, or a recipient is unavailable.
Interstate and Holiday Charges
For applicable out-of-Arkansas deliveries, a 1.75% interstate charge based on total route mileage may apply as specified in the accepted quote or applicable rate agreement.
For applicable Arkansas holiday deliveries, a $25 holiday charge may apply.
For applicable interstate holiday deliveries, a 5% holiday surcharge may apply as specified in the accepted quote or rate agreement.
These charges are subject to the actual service, applicable rate agreement, and any written customer-specific pricing arrangement.
Additional Expenses
Tolls, parking, additional stops, route changes, return trips, and other approved expenses may affect the final charge when applicable and disclosed or authorized under the accepted service terms.
Any material price change not already covered by the accepted quote or applicable agreement will be communicated for approval before the additional charge is incurred, except where an existing written agreement or applicable law provides otherwise.
8. Payment Terms
Payment terms will be established in the accepted quote, invoice, or written customer agreement.
Unless otherwise agreed in writing, payment is due according to the terms stated on the invoice.
Customers with approved business accounts may be subject to separately agreed billing arrangements.
Vital Link Courier may decline future requests or suspend account services for overdue balances, subject to applicable agreements and law.
Customers are responsible for applicable charges properly incurred under their accepted service terms.
9. Cancellations, Failed Pickups, and Redelivery
Customers should contact dispatch as soon as possible to cancel or modify a delivery request.
A cancellation fee may apply when a courier has already been dispatched, is traveling to the pickup location, has arrived, or has otherwise incurred costs for the requested service.
Additional charges may apply when a delivery cannot be completed because of:
-
An incorrect address or incomplete instructions
-
A shipment not being ready at the scheduled pickup time
-
An unavailable or unauthorized recipient
-
Restricted or inaccessible facilities
-
Refusal by the receiving party
-
Undisclosed shipment contents or handling requirements
-
Other circumstances attributable to the customer or recipient
Depending on the circumstances and applicable instructions, the shipment may be returned to the shipper, held pending further instructions, or handled as otherwise agreed.
Any additional charge will be based on the applicable quote, rate agreement, or separately approved service.
10. Proof of Delivery and Chain of Custody
When included in the accepted service, proof of delivery may consist of:
-
Recipient name or signature
-
Delivery date and time
-
Delivery photographs
-
Electronic delivery confirmation
-
Relevant delivery notes
-
Chain-of-custody records, where agreed
The form of proof available depends on the shipment, facility requirements, technology, and service arrangement.
A delivery confirmation establishes the recorded delivery event but does not independently certify the condition, contents, or suitability of the shipment unless expressly documented.
Customers requiring specific documentation or chain-of-custody procedures must communicate those requirements before the shipment is accepted.
11. Customer Information and Confidentiality
Vital Link Courier uses customer and shipment information to quote, coordinate, perform, document, and invoice delivery services and to provide related customer support.
We take reasonable steps to safeguard customer and shipment information and limit access to information as appropriate for the service.
Customers should provide only the information necessary to perform the requested transportation.
We do not sell personal information. Our collection, use, and disclosure of personal information are further described in our Privacy Policy.
Privacy Policy: https://www.vitallinkcourier.net/privacy-policy
12. Service Interruptions and Events Beyond Our Control
Vital Link Courier is not responsible for delays or service interruptions caused by circumstances beyond its reasonable control, including severe weather, natural disasters, road closures, accidents, government restrictions, facility closures, public emergencies, or third-party actions.
This section does not eliminate any duty or liability that cannot legally be excluded.
When reasonably practicable, we will communicate material delivery issues and coordinate next steps with the customer.
13. Liability and Shipment Claims
Vital Link Courier will exercise the level of care required by applicable law and the accepted service agreement.
Liability for loss, damage, delay, misdelivery, or other shipment-related claims will be determined under applicable law and any enforceable written transportation agreement governing the shipment.
No provision in these Terms excludes liability that cannot legally be excluded, including liability arising from conduct for which applicable law prohibits a contractual waiver.
Customers should promptly notify Vital Link Courier of any suspected loss, damage, misdelivery, or service issue and provide relevant supporting documentation.
Any applicable contractual claim procedures, notice periods, declared-value arrangements, and liability limits must be stated in the governing transportation agreement or other applicable written terms. Nothing in this section shortens a mandatory statutory deadline.
14. Website Use and Intellectual Property
Website text, logos, branding, graphics, and other original content belonging to Vital Link Courier may not be reproduced or used commercially without permission, except as permitted by law.
Users must not attempt to gain unauthorized access to the website, interfere with its operation, submit unlawful content, or use the website for fraudulent or prohibited purposes.
We may update, suspend, or discontinue website features when reasonably necessary.
15. Third-Party Services and Links
Our website may use third-party services for forms, mapping, communications, analytics, quote calculations, or other functions.
Third-party services may be subject to their own terms and privacy policies.
Vital Link Courier is not responsible for the independent operation of third-party websites or services, except to the extent responsibility cannot legally be excluded.
16. Changes to These Terms
Vital Link Courier may revise these Terms & Conditions by publishing an updated version on this page.
The effective date will be updated when material changes are made.
The terms applicable to a particular delivery may also be governed by a written service agreement, accepted quote, or transportation agreement. Where terms conflict, the applicable written agreement will control to the extent stated in that agreement and permitted by law.
17. Governing Law
These Terms & Conditions are governed by the laws of the State of Arkansas, except where applicable federal law or another mandatory legal requirement controls.
Any dispute will be handled in a court of competent jurisdiction as permitted by applicable law.
